Your first order, start to finish

Follow one order through PartyPad, from booking it to confirming it, putting the work on your crew's phones, and closing it out.

This walks one order through PartyPad from the booking to the pickup. Do it once with a real party, or a test one, and the rest of the dashboard makes sense.

1. Book the order

Orders live under Events. Each event is one booking: a customer, a date, an address and the rentals going out.

  1. Open Events and click Create Event.
  2. Pick the customer, or click Create New Customer to add one.
  3. Enter the Event Name, Event Date, Start Time and Duration (hours).
  4. Choose the Delivery Type: Drop-Off, Full-Service or Customer Pickup. This decides which tasks the order gets.
  5. Confirm the address. Use customer address fills it from the customer record.
  6. Pick at least one rental from your inventory, check the totals, and click Create Event.

Orders can also arrive without typing: from your booking page, or from the booking system you already use through webhooks. See Events for the full page.

2. Confirm it

New orders start on Hold unless you pick another status. Hold means the booking is tentative. Confirmed means it's happening, and confirmation is what turns the order into work.

If you know the order is firm when you book it, set Status to Confirmed in the create form. A booking page order confirms itself when the customer pays. An order from your booking system confirms when that system says so. Order statuses explains each status.

3. Get the tasks

On the Professional plan, confirming an order creates its tasks: a delivery and a pickup for Drop-Off, plus a setup for Full-Service. Each task carries the address, the time and the rental list. How tasks are generated covers the timing and the rules you can set.

On the Free plan, tasks aren't generated for you. Open Tasks, click Create Task, choose Manual, and select the event so the task is tied to it. Add one task for the delivery and one for the pickup.

4. Put the crew on it

A task needs a contractor. You can:

  • assign it from the task's menu on Tasks with Assign Contractor,
  • build the day's routes on the Dispatch board,
  • leave it open for an approved contractor to claim in the crew app.

The contractor gets the task on their phone in the crew app, with the address and the equipment list. If you have no contractors yet, invite one from Contractors first.

5. Watch it happen

The dashboard's live map shows crews who are sharing their location. On Tasks, a task moves to In Progress when the contractor starts it and to Completed when they finish.

6. Close it out

A completed task waits for your review with a Pending Approval badge. Choose Review Completion from the task's menu, then Approve Completion and Approve & Complete.

For an order booked in PartyPad, approving the delivery or setup moves it to Delivered, and approving every pickup moves it to Completed. That's one order done: booked, confirmed, delivered, picked up and on the record.
