Events
Create, find, edit and cancel your orders on the Events page, and see each order's tasks and crew at a glance.
An event is one order: a customer, a date, an address and the rentals going out. Every delivery, setup and pickup your crew works traces back to one. The Events page is where you book them and keep them straight.
Read the page
The cards at the top count your Total Events, Confirmed and Completed orders, and Recent Events from the last 30 days.
Below them is the event list. Each row shows the event name, its status and delivery type, the date and time, and the order total. Once an order has tasks, a small badge appears for each one, such as Delivery, Setup or Pickup. Hover a badge to see who's on it, or Unassigned. A tick on a badge means that task is done.
Click a row to expand it for the delivery and pickup times, the customer's details, and the rental agreement trail (Sent, Viewed, Signed, Declined) if the order has one.
Find an order
- Search Events matches the event name and the customer's name.
- Click a status chip (Hold, Confirmed, Delivered, Completed, Cancelled) to show only those. Click several to combine them, or Clear to reset.
- The source chips split Booking page orders from everything else.
- The date menu covers Today, Tomorrow, this and next Saturday, Sunday, weekend and week, This Month, or Custom Range....
Event Calendar in Quick Actions lays orders out by day. View Map shows them by location.
Create an order
- Click Create Event.
- Search for the customer by name, email or organization, or click Create New Customer.
- Enter the Event Name, Event Date, Start Time, Duration (hours) and, if you like, Expected Guests.
- Set the Status. New orders default to Hold.
- Pick the Delivery Type: Drop-Off (delivered and picked up), Full-Service (setup and breakdown included) or Customer Pickup. Pick the Surface: Grass, Concrete, Indoor or Other.
- Leave Use customer address ticked, or enter the event address.
- Choose at least one rental from your inventory.
- Check the money (staff cost, delivery charge, fees, adjustments, coupon code, tax), add notes, and click Create Event.
The event date can't be in the past. If you set the status to Confirmed here, PartyPad generates the order's tasks on the Professional plan. See How tasks are generated.
Edit an order
Open the menu on a row and choose Edit Event. You can change every detail, including the status, the event times, and the Delivery Date, Delivery Time, Pickup Date and Pickup Time. Click Save Changes.
Edits carry through to the crew:
- Moving the delivery or pickup reschedules the matching tasks.
- Changing the address moves the tasks to the new address.
- Setting the status to Cancelled cancels every task on the order that isn't already completed.
On the Professional plan, changing the status from Hold to Confirmed here generates the order's tasks. If a confirmed order has none, see Tasks not being created.
Cancel or delete an order
Cancel when the party is off but you want the record: change the status to Cancelled, or use Cancel event on the order in Event Calendar. Cancelled orders stay on the list.
Delete removes the order entirely: Delete Event in the row menu. An order the customer paid for by card on your booking page can't be deleted, and cancelling it doesn't refund them. PartyPad asks you to refund it from your Stripe dashboard or confirm a cancel without refund. See Booking page orders and refunds.
Other ways orders come in
- Import Events in Quick Actions takes a JSON file of orders. Each order's customer must already exist, matched by email. Imported orders don't generate tasks.
- Your booking page creates orders as customers book.
- Your existing booking system can send orders through webhooks.
On the Professional plan, Generate Tasks in Quick Actions builds tasks for any order from your automation templates.
Who can use this page
Viewing needs permission to read events. The Tenant Admin, Task Manager and Viewer roles have it; only the first two can create, edit or delete. See Roles and permissions. For what each status means, see Order statuses.
