Order statuses

What Hold, Confirmed, Delivered, Completed and Cancelled mean for an order, its stock and its crew tasks.

Every order has one of five statuses. The status tells your office where the booking stands, and it drives what PartyPad does with the order's stock and tasks.

The five statuses

Hold

A tentative booking. The customer is interested, or the deposit hasn't landed yet. New orders you create start on Hold unless you choose otherwise.

  • Stock: a Hold you create blocks its rentals on your booking page for those dates, the same as a confirmed order. A Hold made by a customer checking out on your booking page blocks stock only while they're paying, about 35 minutes. If they don't finish, the stock frees up and PartyPad cancels that Hold later.
  • Tasks: none are generated from the delivery type yet. If you've set up event rules under Automation, those rules run for every new order, Hold included.

Confirmed

The booking is happening. Confirmation is what turns an order into crew work.

  • Stock: blocked for the order's dates.
  • Tasks: on the Professional plan, PartyPad generates the order's delivery, setup and pickup tasks when it's confirmed from your booking system, by a booking-page payment, from the PartyPad Admin app, or when you create it as Confirmed or confirm it in Edit Event. A booking-page order moves from Hold to Confirmed only when the customer's payment comes through.

Delivered

The equipment is on site.

  • For orders booked in PartyPad, this happens on its own: when you approve a contractor's completed Delivery or Setup task, a Confirmed order moves to Delivered.
  • You can also set it by hand with Edit Event.

Completed

The party is over and the equipment is back.

  • For orders booked in PartyPad, the order moves to Completed when you've approved every Pickup task on it.
  • You can also set it by hand.

Cancelled

The booking is off. The order stays on your list for the record.

  • Stock: released straight away.
  • Tasks: every task on the order that isn't already completed is cancelled. Completed tasks stay as they are, so your pay records hold.
  • Paid booking-page orders: cancelling doesn't refund the customer. PartyPad stops and asks you to refund it from your Stripe dashboard, or to confirm you want to cancel without a refund. See Booking page orders and refunds.

Orders from your booking system

If an order arrives through webhooks, your booking system owns its status. PartyPad applies whatever status it sends:

  • An order sent as cancelled or declined becomes Cancelled, and its open tasks are cancelled. PartyPad has no separate Declined status.
  • An order that moves to Confirmed gets its tasks generated.
  • Approving crew work does not move these orders to Delivered or Completed, because your booking system would set them back. Update the status there.

Changing a status

  • On the web, open the order on Events, choose Edit Event, change Status and click Save Changes.
  • In the PartyPad Admin app, open the order and use Change event status.

A few things to know:

  • Moving an order back from Confirmed to Hold doesn't delete tasks already created. Cancel them on Tasks if the job is off.
  • Rescheduling a confirmed order's delivery or pickup moves its tasks with it. Changing the address moves them to the new address.
