Tasks not being created

Why a confirmed order has no delivery, setup or pickup tasks, and how to get the work onto your crew's phones.

An order is booked, but there's nothing for the crew: no task badges on its row on Events, and nothing on Tasks. Work down this list. Most cases are one of the first four.

1. Your plan doesn't include automation

Automatic task generation is a Professional plan feature. On the Free plan, confirming an order doesn't create tasks.

Fix: create the tasks yourself. On Tasks, click Create Task, choose Manual, select the order, and add a delivery and a pickup. To have them created for you, see Plans and billing or the Professional trial.

2. The order isn't confirmed

Tasks from the delivery type are created when an order becomes Confirmed. An order on Hold has none yet.

Fix: check the status chip on the order's row. Booking-page orders stay on Hold until the customer's payment comes through. Orders from your booking system stay at whatever status it sent. See Order statuses.

3. Event rules are on, and none matched

Once you have even one rule under Automation > Event Rules, PartyPad uses your rules instead of the standard delivery-type tasks. If no rule's conditions fit the order, for example a rule limited to Full-Service orders and this one is Drop-Off, the order gets no tasks.

Fix: review the conditions on your rules, or add a rule that covers this kind of order. Then use Generate Tasks for the order that was missed. See How tasks are generated.

4. The order was imported

Orders brought in with Import Events never generate tasks, whatever their status.

Fix: use Generate Tasks for the imported orders that are still ahead of you.

5. The order never arrived

If the order came from your booking system, check that it reached PartyPad at all. Search for it on Events by its order number.

PartyPad matches each incoming order to a customer by email. An order whose customer isn't in PartyPad and wasn't sent along with it is skipped. On the Professional plan, the delivery history under Settings, Integrations shows each delivery and whether it failed. See Webhooks.

6. It's a Customer Pickup order

Customer Pickup orders don't get delivery or pickup tasks, because your crew isn't driving. They get a Pre-Event Equipment Check the day before and a Post-Event Maintenance task the day after. Look for Maintenance tasks.

7. The tasks exist, but nobody has them

Generated tasks are offered to your contractors one at a time, and tasks from event rules are left unassigned. A task that nobody took shows as Pending on Tasks. Filter for Pending tasks and assign each one with Assign Contractor.

8. The order was cancelled

A cancelled order has its open tasks cancelled, and Generate Tasks won't run on it. Set the order back to Confirmed first if the party is back on, then generate.
