Roles and permissions
The four office roles in PartyPad, what each one can see and do, and how to give someone a different role.
Everyone who signs in to the dashboard has one or more roles. The role decides which menu items they see and what they can change. Your field crew is separate: contractors work from the crew app and never see the dashboard.
The four roles
Tenant Admin
Full access to everything: orders, tasks, dispatch, customers, inventory, contractors, office staff, automation, reports, billing, your booking page, settings and webhooks. Only a Tenant Admin can manage webhooks, edit automation templates and rules, set dispatch pay rates, or invite office staff.
Give this role to the owner and anyone you trust to change how the account is set up.
Task Manager
Runs the day-to-day operation. A Task Manager can:
- create, edit and delete orders, customers and inventory,
- create tasks, assign them and approve completed work,
- build and publish routes on the Dispatch board, but not change the ridealong or start pay rates,
- view automation and reports, without changing automation.
A Task Manager doesn't see Contractors, Team, Push Notifications, Billing, Booking Page or Settings.
Billing Admin
For whoever handles the money. A Billing Admin sees Billing and Reports, can update and export billing, and can read customers, tasks, staff and contractors for context. They can't create or change orders, tasks or crew.
Viewer
Read-only. A Viewer can look at orders, dispatch, customers, inventory and reports, and change nothing. The Tasks page needs permission to create tasks, so a Viewer doesn't see it.
Plan features come first
Automation and Reports are Professional plan features. On the Free plan they show with a lock for every role, including Tenant Admin. See Plans and billing.
Give someone a role
When you invite them
- Open Team and click Invite Member.
- Enter their First Name, Last Name and Email Address.
- Under Role & Permissions, pick the role.
- Add a Personal Message (Optional) and send.
They get an email invitation. Pending invitations are listed under Invitations on the Team page. See Team.
Change an existing member's role
- On Team, find the member.
- Open the menu on their row and choose Edit Roles.
- Tick or untick roles under Roles & Permissions and save.
A member can hold more than one role. Their access is everything the roles allow, added together: a Task Manager who is also a Billing Admin gets both sets. At least one role must stay selected.
To take someone off the account, choose Remove Member from the same menu.
When someone can't see a page
If a teammate says a menu item is missing, check three things:
- Their role. Compare it with the lists above.
- Your plan. A locked item needs the Professional plan.
- The page itself. Some pages answer "You don't have permission" rather than hiding. Webhooks is one: only a Tenant Admin can open it.
Contractors are not office staff
Contractors sign in to the crew app, not the dashboard. They see the tasks open to them and their own work, earnings, availability and documents. Office staff on the go use the web dashboard or the PartyPad Admin app.
