Customers
Add, find, edit, import and export the people and businesses you rent to, and see every order each one has booked.
Customers holds one record per person or business you rent to. Every order you create is tied to a customer, so the record is where the contact details and the booking history live.
What's on the page
Four counts sit across the top: Total Customers, Residential Customers, Commercial Customers, and Recent Customers (added in the last 30 days).
Below them, the Customer Directory lists everyone, 20 to a page. Use it to:
- Search by name, email or organization. Type, then press Search or Enter.
- Filter by type: All Types, Residential or Commercial.
- Sort: Name A-Z, Name Z-A, Newest First, Oldest First, or Email A-Z.
The Quick Actions panel on the right holds Create New Customer, Import Customers, Export Customers and View Events.
Customer types
- Residential: an individual or family. The usual birthday-party booking.
- Commercial: a business, school, church or other organization. A commercial customer needs an Organization name.
Add a customer
- Select Create Customer.
- Pick the Customer Type.
- Fill in First Name, Last Name and Email Address. For a commercial customer, add the Organization.
- Add any of Cell Phone, Home Phone and Office Phone.
- Enter the Street Address, City, State and ZIP Code. All four are required.
- Optionally add Notes and Tags. Tags are comma-separated, for example
VIP, Repeat Customer. - Select Create Customer.
Each email address can belong to only one customer. If you try to add a second customer with the same email, PartyPad refuses and tells you one already exists.
You can also create a customer while you create an order, and customers who book on your online booking page are added automatically, matched by their email. See Events and What happens when a customer books online.
Work with a customer
Open the ... menu on any row:
- View Details shows the full record.
- View Events opens Events filtered to that customer's orders.
- Edit Customer opens the same form, ready to change.
- Delete Customer removes the record after you confirm. This can't be undone.
Which of these you see depends on your role. Someone without permission to edit or delete customers won't see those options.
Import customers
Import takes a JSON file, up to 10 MB. The file needs a root object with metadata and data, where metadata.type is "customers" and data is a list of customers. Each customer must include firstName, lastName, email, street, city, state, zip and customerType (Residential or Commercial).
- Select Import Customers, then drag the file in or choose Select File.
- PartyPad checks every row before anything is saved. You see how many are Valid and a list of errors by row number, such as a missing ZIP code, an email used twice in the file, or a state that isn't a two-letter code. Full state names like "Texas" are converted for you.
- Select Import (the button shows how many customers) to save the valid rows. Rows whose email already belongs to a customer are skipped and listed under Import Errors.
Export customers
Select Export Customers, choose CSV (Spreadsheet) or PDF (Document), and select Export. CSV opens in Excel or Google Sheets. PDF is a printable directory.
