Manage tasks

Find, create, assign, review and cancel the delivery, setup, pickup and maintenance tasks your crew works from.

A task is one job for your crew: a delivery, a setup, a pickup or a maintenance job, with an address, a time and a pay amount. Most tasks are created for you when an order is confirmed. The Tasks page is where you see all of them and step in when something needs changing.

Read the page

The cards across the top count your tasks at a glance: total, scheduled today, assigned, in progress, completed and overdue. Below them is the task list.

Each task has one status:

  • Pending: nobody has it yet.
  • Assigned: a contractor has it, from you, from a published route, or because they claimed it in the crew app.
  • In Progress: the contractor tapped start in the app.
  • Completed: the work is done.
  • Cancelled: called off, kept for your records.

An Overdue badge means the scheduled time has passed. A Pending Approval badge means the task was marked complete and is waiting for your review.

Find a task

Use the search box to search by title, description or task ID. Filters narrows the list by status, priority, task type (Delivery, Setup, Pickup, Maintenance), Manual or Automated, contractor, location and date. The date presets cover today, tomorrow, this and next Saturday, Sunday, weekend and week, or a custom range.

Calendar shows tasks laid out by day. Map shows them by location, with filters for status and type. Export downloads the current list.

Create a task

  1. Click Create Task.
  2. Choose Manual to fill in one task yourself, or Auto-Generate to build tasks from an event using your automation templates. Auto-Generate is a Professional plan feature.
  3. Enter a Task Title, Task Type, description and Address. The address is placed on the map when you save.
  4. Set the scheduled date and time, the estimated duration in minutes (120 by default), the Payment Amount and the priority.
  5. Under Required Skills, pick the skills a contractor must hold to take the task. Leave it empty and any contractor can take it.
  6. Add step-by-step Instructions if the crew needs them, then save.

Skills come from the Skills tab under Automation.

Act on a task

Open the ⋯ menu on any row:

  • Edit Task changes any detail, including status and the equipment list.
  • Assign Contractor picks who does the work. You can assign more than one.
  • Duplicate copies the task.
  • Mark Complete sets it to Completed on the contractor's behalf. It then waits for review like any other completion.
  • Cancel Task asks for a reason, marks the task cancelled and notifies the assigned contractors. The task stays visible for your records.
  • Delete Task removes it.

Tick the boxes on several rows to Assign or Complete them together.

Review completed work

When a contractor completes a task in the crew app, it moves to Completed with a Pending Approval badge. Choose Review Completion from the row menu. You're asked whether the contractor did the work:

  • Yes: rate whether they showed up and were on time, then Approve & Complete.
  • No, the work was unsatisfactory: Reject Completion. The task is marked incomplete and the contractor is notified to redo it.
  • No, they never showed up: Record No-Show. This counts against the contractor's performance rating and sends them a warning.

Who can use this page

The Tasks page needs permission to create tasks, which the Tenant Admin and Task Manager roles have. See Roles and permissions.
