My crew isn't getting notified

Work through the checks that decide whether a crew member gets a task email or push alert, from assignment and quiet hours to phone permissions.

A crew member says they never heard about a job. Every task notice passes several checks before it goes out, and any one of them can stop it. Work through them in order.

1. Was the task assigned to them?

Assignment notices go to the contractor a task is assigned to. A task that is still unassigned has nobody to notify.

Open the task on Tasks and check who it's assigned to. Tasks created by event rules start unassigned unless the rule lists preferred contractors. See Event automation and task templates.

2. Quiet hours

Each contractor can set Quiet Hours in the crew app. A task notice that falls inside them is skipped, by email and by push, and isn't sent later when quiet hours end.

Quiet hours are read in your business's time zone, the one set under Business settings.

If something was assigned during their quiet hours, call or text them, or send a message from Push Notifications once quiet hours are over.

3. Their own notification settings

Contractors control their alerts in the crew app under Profile, then Notifications. Ask them to check:

  • Push Notifications is on, for alerts on the phone.
  • Email Notifications is on, for task emails.
  • Task Assignments is on, along with Task Updates, Task Reminders and Task Cancellations if they want those.

You can't change these from the dashboard. They have to do it on their phone and tap Save.

4. Phone permission and sign-in

Push alerts reach a phone only after the crew app has registered it with PartyPad. That happens when they sign in and allow notifications.

  1. In the app, open Profile, then Notifications, and look at Push Notification Status.
  2. If it says Push notifications require permission, tap Enable and allow notifications. If the phone doesn't ask, turn notifications on for the PartyPad crew app in the phone's own settings, then tap Enable again.
  3. Tap Send Test Notification. If the test arrives, the phone is set up.

A new phone or a reinstalled app needs the same steps. Sign in again and allow notifications. PartyPad drops a phone from the list once the push service reports it can't reach it, so a phone that stopped getting alerts after a reset needs to sign in again too.

Phone-level settings such as Do Not Disturb, Focus modes and battery saver can also hold alerts back. Those are on the phone, not in PartyPad.

5. Your company email switches

Task emails also depend on company-wide switches on Automation, under the Settings tab (Professional plan):

  • Enable Email Notifications must be on. Off stops task emails to everyone.
  • On Task Assignment must be on for assignment emails.
  • If Enable Email Batching is on, emails wait for the next batch, so they arrive late by up to the Batch Interval (minutes).

These switches affect email only. A crew member with push set up still gets push alerts when email is off. See Notification settings.

6. The email itself

If push works but email doesn't:

  • Check the email address on their record on Contractors. A typo sends their notices to nobody.
  • Ask them to check spam and any filters, and to mark PartyPad mail as not spam.
  • Task emails only go to active contractors. A contractor whose account isn't active gets none.

Test the whole path

Assign a test task to the crew member while they stand next to you, outside their quiet hours. If neither push nor email arrives, contact support from the bottom of this article. Include the crew member's name, the task and the time you assigned it.
