Reports
Read your mileage, completion photos, revenue and profit, crew performance and inventory use from the Reports page.
Reports turns the work your crew logs into numbers you can act on: miles driven, photos taken, money in and out, who shows up on time, and which rentals earn their keep. Reports are part of the Professional plan. On the Free plan the page shows an upgrade panel instead.
Your role needs access to reports to open the page. If you can't see Reports in the menu, ask the account owner to check your role under Team.
Picking a report
The list on the left switches between five reports. Each one has its own filter bar, and most start with a From and To date range.
Mileage
All mileage logs in one place: odometer readings your crew records on tasks, plus entries added by hand.
- Filter by date range, contractor and vehicle.
- The summary shows Task Miles (filtered), Tasks Recorded and Avg Miles / Task for whatever the filters leave in.
- Click New Entry to add a manual mileage entry.
- Click Export CSV to download the filtered list as a spreadsheet.
Editing or deleting an entry needs permission to update tasks. See Vehicles and mileage for how mileage gets recorded in the first place.
Images
Completion photos contractors took while finishing tasks. Filter by date range, Contractor, Status and Event to find the photo of a particular setup, for example when a customer questions where a unit was placed.
Revenue
Order revenue against what you paid your crew for the same work.
- Revenue counts orders that are Confirmed, Delivered or Completed. Holds and cancelled orders don't count.
- Contractor expense is the pay on those orders' tasks.
- The summary shows Total Revenue, Contractor Expense, Net Profit, Profit Margin, Events and Avg Revenue / Event.
- Charts show revenue, expense and profit over time, Revenue by Service Type, and Top Customers by Revenue.
- Group by switches the time charts between Day, Week and Month. Customer narrows the report to one customer.
Revenue here is the order total recorded in PartyPad. It is not a bank or payout statement.
Contractor Performance
How each contractor performs, built from completed and cancelled tasks.
- The summary shows Contractors, Tasks Completed, Avg Completion Rate, Avg On-Time Rate, Avg Quality Score and Total Paid.
- Charts show tasks completed over time and the top 10 contractors by tasks completed.
Use it before the busy season to see who you can count on for the Saturday runs.
Inventory Utilization
Which rentals go out and which sit in the warehouse, built from Confirmed, Delivered and Completed orders.
- The summary shows Total Rentals, Unique Items, Avg Days-Booked Ratio and Busiest Period.
- Charts show rental demand over time and the 10 most-rented items.
A low days-booked ratio on an expensive unit is worth a look before you buy another one like it. Results depend on your orders naming rentals that match your Inventory items.
