Contractor onboarding paperwork
Choose the documents new contractors sign, upload your own, and decide whether signing is required before they can claim jobs.
Onboarding paperwork is the set of documents every contractor signs when they join your crew. PartyPad sends the documents, collects the signatures and shows you who has signed what. Open it from Contractors → Paperwork.
PartyPad's starter documents work on every plan. Uploading your own documents is a Professional plan feature.
How contractors get their paperwork
When a contractor joins from your invitation, and again when you approve them, PartyPad issues every active document they still owe. Each one arrives by email with a link to sign, and is also waiting for them in the crew app. A document they've already signed, or one already waiting on them, isn't sent twice.
The document list
Onboarding paperwork lists every active document. Each one shows:
- PartyPad template for the starter documents PartyPad provides,
- Required or Optional,
- Read-only if you can't change it on your current plan.
Required documents count towards a contractor's onboarding status. That status is what the paperwork filter on the Contractors page uses.
To change a document:
- Make optional or Make required switches it.
- The trash icon removes it. Signatures you've already collected are kept.
You can always mark a starter document optional or remove it. Documents you uploaded yourself keep going out to contractors if you leave Professional, but changing or removing them needs Professional again.
Add your own document
On the Professional plan:
- Click Add document.
- Enter a Title, such as "Non-disclosure agreement", and an optional Description that contractors see alongside it.
- Choose the PDF file. PDFs only, up to 10 MB. Password-protected files can't be signed.
- Leave Required before a contractor counts as fully onboarded ticked, or untick it to make the document optional.
- Click Add document.
PartyPad adds a signature page to the end of your PDF. Contractors sign there rather than on any signature line inside your own document.
New documents go to contractors as they join or are approved. For someone already on your crew, open their details on Contractors and use Send reminder in the Onboarding Paperwork section.
Require signed paperwork before work
Turn on Require signed paperwork before claiming jobs to stop a contractor from claiming or accepting a job until every required document is signed. It's off by default. Only a Tenant Admin can change it.
Leave it off if you'd rather let new crew start while their paperwork catches up. Turn it on if you need every signature in hand before anyone touches a customer's yard.
Check who has signed
- On Contractors, filter by Paperwork complete or Paperwork incomplete.
- In a contractor's details, Onboarding Paperwork lists each document and its state, with Download for signed copies and Send reminder to email them about anything still outstanding.
If a contractor says they never got the email, send a reminder from their details and ask them to check the crew app as well.
If paperwork isn't going out
If the page shows a notice that paperwork won't be sent until the signing service is enabled, signing isn't available on your account yet. Contact support from the bottom of this article.
